Booth Space Assignments
A floorplan will be made available by late-February or upon final approval of the fire marshal (whichever is first). Exhibitors are encouraged to select their top four preferences for booth placement. If at the time of registration, a floor plan is not available, vendors will be contacted by the National Center in the order which their reservation was received for booth selection. Requested placement will be accommodated as best as possible, however, BPA reserves the right to place exhibitors based on space availability as well as adjust the floor plan as necessary with onsite vendor and/or facility. Booths are assigned based on sponsorship level and the date in which the reservation was received by BPA.

Application Submission
This application, when properly executed by the exhibitor and accepted by Business Professionals of America, shall be considered a binding agreement subject to general information and regulations. By signing this agreement, the exhibitor hereby agrees to all terms, regulations, and conditions set forth on both sides of this agreement. The Exhibit Manager may restrict, prohibit, or evict any exhibitor who does not comply with the rules and regulations set forth by Business Professionals of America.

Eligibility to Exhibit

The Business Professionals of America (BPA) National Leadership Conference provides opportunities for educators and students (middle school, high school, and college/university) to learn and grow. BPA reserves the right to reject exhibitor applications from businesses or organizations whose products or services are inappropriate for this audience.

Rental Fees and Terms of Payment

The minimum available booth space is 8 ft. by 10 ft. A single standard booth is available for $750, and a single premium booth (includes power and WiFi) is $1,200. Payment can be made by check (in U.S. dollars drawn on a U.S. bank) or debit/credit card (3% convenience fee applies to card payments). Booth reservations will be held but are not confirmed until payment is received. If full payment is not received by April 1, 2023, BPA reserves the right to resell the booth space.

Cancellation and Refunds

If cancellation or reduction of space is made in writing prior to April 1, 2023, 75% of the exhibit booth fee will be refunded. No refunds will be issued after April 1, 2023. The date of receipt of the cancellation letter will be the official cancellation date. If for any reason beyond the control of BPA, such as, but not limited to, the destruction of the exhibit facilities or cancellation of the event, the exhibitor agreement shall be considered terminated and any payments made by the exhibitor shall be refunded to the exhibitor less expenses incurred by BPA.

Subletting or Sharing of Booth Space

Exhibitors may not assign, sublet, or apportion to others the whole or any part of the space allocated, and may not display goods or services other than those manufactured or regularly distributed by them and approved by BPA.

Assignment of Booth Space

Exhibit space is assigned on a first come, first served basis. BPA will accommodate exhibitor requests whenever possible, but booth preferences stated on the application cannot be guaranteed.

Shipping and Material Handling

Information and instructions related to shipping materials to the conference venue will be provided to exhibitors.

Booth Privacy

Products, services, and exhibitor activity must be confined to the exhibitor’s allotted space. Exhibitors should not enter other exhibit areas without invitation.

Distribution of Food and/or Drink

Distribution of food or drink other than hard candy or similar small items must be approved by BPA. Contact Tim Hill at thill@bpa.org for more information.

Security

Protection of exhibitor property before, during, and after the Exhibitor Showcase is the exhibitor’s responsibility. Each exhibitor must make provisions for the safeguarding of goods, materials, equipment, and display at all times. Exhibitors are responsible for insurance covering the booth and merchandised contained therein.

Liability

The exhibitor shall be fully responsible for all claims, liabilities, losses, damages, or expenses relating to or arising out of any injury to any person or any loss of or damage to any property where such injury, loss, or damage is incident to, arises out of, or is any way connected with the exhibitor’s participation in the Business Professionals of America 2023 National Leadership Exhibitor Showcase. Neither BPA, nor any of its employees, agents, or representatives, will be responsible for any injury, loss, or damage that may occur to exhibits or personnel. Each exhibitor assumes entire responsibility and herby agrees to protect, indemnify, defend, and hold Business Professionals of America and its employees and agents harmless against all claims, losses, and damages to persons or property, government charges or fines, and attorney’s fees arising out of or caused by exhibitor’s installation, removal, maintenance, or occupancy or use of the exhibition premises or a part thereof, excluding any such liability caused by the sole negligence of the Hilton Anaheim and its employees and agents. In addition, the exhibitor acknowledges that BPA and the Hilton Anaheim does not maintain insurance covering exhibitor’s property and that it is the sole responsibility of the exhibitor to obtain business interruption and property damage insurance covering such losses by the exhibitor. Any policy providing such insurance must contain a waiver of any right of subrogation as to any claims against BPA, its officers, directors, agents, or employees. The exhibitor, on signing the booth space rental agreement, expressly releases the aforementioned from any and all claims.
