Contracted Services – Engagement & Outreach Coordinator
The Business Professionals of America, Texas Association, Board of Directors welcomes bids for the Engagement and Outreach Coordinator. Business Professionals of America is a nonprofit Career and Technology Student Leadership Organization for business students and teachers and is under the umbrella of the Texas Education Agency.
The Engagement and Outreach Coordinator supports sponsorship development, leadership session planning, and on-site partner engagement for the State Leadership Conference (SLC). This role is responsible for securing sponsors, coordinating sponsor deliverables, managing speaker logistics, and ensuring a professional and seamless experience for all external partners.
Compensation shall be a $1,000 stipend + 10% of all sponsorships procured directly by the Engagement & Outreach Coordinator paid out quarterly. Texas Business Professionals of America will approve expenses according to Policies and Procedures as listed.
The term for this position begins May 2026 through April 2029.
Additional time commitments include attending board meetings virtually or in person as requested by the Board, assisting with committees and assisting during the State Leadership Conference. Meeting dates are flexible depending on availability but plan on meeting in mid-September, in early December, the week of the State Leadership Conference and in mid-June or July with an attempt to align with the summer teacher conference. Other online meetings may be set up as needed. All travel expenses must be pre-approved by the Contracted Services Oversight Committee Chair. It is preferred that all and any meetings with potential sponsors be conducted virtually, unless approved.
Key responsibilities include:
- Sponsorship Development and Management, Including:
- Identify and contact potential sponsors.
- Share the sponsorship packet and facilitate sponsorship discussions.
- Secure sponsorship agreements and finalize sponsorship levels.
- Collect sponsor logos and advertisements in the correct formats for inclusion in the SLC program, website and social media.
- Ensure social media posts are created and scheduled according to sponsorship level benefits.
- Coordinate with sponsors on event needs, including hotel accommodations, exhibit space, and session slots.
- Obtain sponsor session descriptions, bios, and logos for use in the conference app and online.
- Track and coordinate sponsorship payments to ensure timely processing.
- Leadership Academy and Session Scheduling, Including:
- Develop the schedule for Leadership Academy Sessions at SLC.
- Manage speakers and session assignments, including sponsor sessions and referrals.
- Provide session details (titles, descriptions, bios, logos) to the State Advisor, CEC and staff by January 15 for publication.
- Update session information in the app as needed for additions or cancellations.
- Communicate with speakers to confirm session times, locations, and expectations.
- Assist speakers with hotel reservations as needed in collaboration with the Meeting Planner.
- Coordinate speaker requirements, including copies, projectors, and other materials, in collaboration with the Meeting Planner or State Advisor.
- Ensure interns and onsite support are assigned as appropriate.
- On-Site Responsibilities at SLC, Including:
- Welcome and support sponsors, exhibitors and speakers.
- Provide on-site management to ensure sponsor and speaker needs are met.
- Troubleshoot and coordinate logistics during sessions and exhibits.
- Conduct follow-up with sponsors and speakers to thank them for their participation.
Key Performance Measures:
- Increase number of sponsors from previous year (FY 2025 = 6).
- Meets all reporting and submission deadlines.
- Attends at least 3 State Board meetings per year.
Competencies:
- Working knowledge of regional and state activities
- Strong oral and written communication skills
- Experience with event and schedule coordination
- Positive and friendly people skills
